1. How to use the Standard Search?
This is the most general type of search, where you can search for a word or expression.
On the right is a predefined list with options which you can use to refine the search, in which case you can search by:
At least one word (in other words the search results should return at least one of the words you entered) or by
All words (the search results should return all the words, although they may be in various fields), or
Exact phrase (the search results must only return the entire phrase you entered).
If you select the option
Record with Image the result will return only records that have associated image(s). If you want to search among all the records, you should not select this option. For example: If you enter the word "art", the search result will be all the records that contain the word art, whether or not they have photographs. If you enter the same search, but with Record with Image selected, you will have all the records that contain the word art and have an associated image.
Before performing the search, you can select the
View mode for the information. The three options are:
List (presents the results as a simple list without photograph - for further information click on the record),
Album (presents the images of the objects or specimens that correspond to the search - to access more information you should click on the image) and
Summary (presents a list of the objects or specimens with a photograph and some information - for more information click on the image or on + Info).
To run the search click
OK.
2. How to use the Oriented Search?
This search mode has questions that you can ask the database(s): Who? What? How? When?
You should write the search text in the field for each question.
You can choose whether you want to search on records with associated image(s). To do this you must select
Record with Image. If you want to search on all the records, you should not select this option, otherwise the search will be limited to records with an associated photograph.
You can also choose the
View Mode for the information. The three options are:
List (presents the results as a simple list without photograph - for further information click on the record),
Album (presents the images of the objects or specimens that correspond to the search - to access more information you should click on the image) and
Summary (presents a list of the objects or specimens with a photograph and some information - for more information click on the image or on + Info).
To run the search click
OK.
What can I search for in Who?
You should enter the name of a person or entity related in some way to the creation of the objects.
What can I search for in What?
You should enter the name of the object.
What can I search for in How?
You can enter the name of the materials or techniques used to produce the objects.
What can I search for in When?
You can search by dates.
3. How to use the Advanced Search?
The Advanced Search allows you to search in one or more fields, to create conditions and to cross-reference information.
Field 1, which is mandatory, has a Drop-down list with: Inventory number, Object name, Author and Title. Select one of these options and enter the information in question in the field on the right.
If you do not want to cross-reference or create search conditions you can run the search by clicking on the OK button.
If you intend to cross-reference information you should complete the other search fields.
In Field 2, which is optional, you can create a condition by selecting from the Drop-down list the option Or (which means that the search will be performed using the information in Field 1 or the information in Field 2 and presents as results information corresponding to at least one of the criteria, either the information entered in Field 1 or that entered in Field 2), or the option AND (which means that the search will be performed for the information entered in Field 1 and that entered in Field 2, the search results showing objects or specimens whose information correspond precisely to what you entered in Fields 1 and 2, for example).
You can choose whether you want to search on records with associated image(s). To do this you must select Record with Image. If you want to search on all the records, you should not select this option, otherwise the search will be limited to records with an associated photograph.
You can also choose the View Mode for the information. The three options are: List (presents the results as a simple list without photograph - for further information click on the record), Album (presents the images of the objects or specimens that correspond to the search - to access more information you should click on the image) and Summary (presents a list of the objects or specimens with a photograph and some information - for more information click on the image or on + Info).

4. How to use the Guided Search?
When you select Browse, a list appears with the items that can be included in the search. To perform the search, select the items required to find the information wanted. You may select more than the one item per search.
If you want to search only for records with associated image(s), you must select Record with Image. If you want to search on all the records, you should not select this option, otherwise the search will be limited to records with an associated photograph.
You can choose the View Mode for the information. The three options are: List (presents the results as a simple list without photograph - for further information click on the record), Album (presents the images of the objects or specimens that correspond to the search - to access more information you should click on the image) and Summary (presents a list of the objects or specimens with a photograph and some information - for more information click on the image or on + Info).
To run the search click OK.
5. After running a search and viewing the results, it is possible to change the criteria and the view mode without having to run a new search?
Yes, after the search results have been presented, you can change some of the criteria used and how the results are presented.
On the left of the screen where the results are presented is a box with the details of the search: the type of search that is being used, if you are seeing all the records or only the records that have an image and the view mode selected: Album, list or summary.
To change the records with images or all records option and to change the view mode, just click on the options required.
6. Can the records have more than one associated image?
Yes, there may be various images associated with the record that you are viewing. When this is the case, below the image will be numbers indicating the number of images available and arrows that you can use to view the different images.
7. Can the images be enlarged?
Yes, you can enlarge the images simply by clicking on them. To return to the object record, click on Close or use the left-button on your mouse to close the image.
8. Once the images have been enlarged and if there are various images associated with a single record, is it possible to navigate and view the different photographs without having to return to the Object File?
Yes, you can navigate and view the different photographs associated with a record without returning to the Object File.
When you enlarge the photograph, if there is more than one image associated with the file, if you place the cursor to the left or the right of the image, two options - Previous and Next - will appear, which you can use to navigate to the different images. With the Previous option you can navigate to the image that appeared before the one you are viewing, and by clicking on Next you can navigate to the next image.
